Streamlining Timecard Entry for a Nationwide Field Services Company

Efficiency is crucial for a nationwide field services company, where every minute matters. We helped our client create a streamlined timecard process that saves time while improving accuracy. Our approach transformed how field employees log hours, reducing administrative burdens and allowing teams to focus on their strengths.

Before

We worked with a nationwide field services company that had been using Salesforce for many years. Their technicians worked on long-running, complex projects with teams spread out across multiple sites for days or even weeks at a time.

Their timecard entry process was critical for tracking many aspects…not just hours worked, but also travel time, administrative tasks, field conditions, weather, and, due to the hazardous nature of their work, any incidents or even close calls.

Sometimes supervisors would enter data on behalf of their technicians, other times technicians entered their own records. The experience was anything but user-friendly: they had three and sometimes four different ways to enter similar data, depending on the situation. This mixture of cloning records, using coded pages, standard Salesforce screens… made the process frustrating and error prone.

The Challenge

Technicians and supervisors alike struggled to navigate dozens of required fields, decide which entry method to use, and complete the process accurately. The company needed a single, intuitive solution that could handle all the variations while keeping technicians focused on their work in the field, not fighting with data entry.

The Solution

What we designed was, as we like to call it, “a single flow to rule them all.”

We built a robust Salesforce Screen Flow that intelligently displays info based on the user’s role (supervisor, technician, etc) and scenario. Whether creating a brand-new timecard, cloning an existing one, or entering data on someone else’s behalf…users could now launch the same button from any relevant object in Salesforce and be guided through the process step by step.

Behind the scenes… the flow made all the decisions, so the user didn’t have to.

Outcome

Technicians and supervisors now enjoy a much simpler, faster way to enter timecards…even while out in the field.

  • Only the fields relevant to their chosen path are shown.
  • Helpful tips and reminders appear at the appropriate spots (like how to handle bad weather or stay hydrated).
  • All scenarios are handled from one streamlined “wizard” interface.

By removing complexity and guiding users through the process, we saved valuable time and reduced frustration so the team can focus on delivering great work safely and efficiently.

Lessons Learned

Salesforce Flow Builder is an incredibly powerful tool for turning complex, multi-object, multi-scenario processes into simple, step-by-step “wizards”.

With the right design, your users don’t have to figure out where to go or what to do next. The system guides them every step of the way.
